Percentage Time: 1 FTE
Non-Exempt Position. Standard 40.00 hours per week; work hours 8:30 am to 5:00 pm; no supervisory responsibilities. Note: Occasional evening, weekend or holiday work may be required. Overtime must be approved in advance in writing by the President. Prompt and regular attendance at work is expected.

General Description: To assist the Director of Development, President/CEO, Public Policy Director, and Communications Director to ensure accurate and efficient operation of the communications, development, executive, and public policy departments. Responsibilities include maintaining database lists, accurate records and files, creating and facilitating the preparation and production of correspondence, presentations, publications, and electronic communications and facilitating the operation, production and completion of projects and initiatives as assigned.

Responsibilities:
1. Maintain and/or generate database and records of targeted mailing lists and all gift donations.
2. Prepare (writing) professional correspondence, including donor acknowledgements.
3. Maintain donor, grant, and general correspondence and files.
4. Create and maintain databases and spreadsheet files.
5. Track and schedule the flow of all publications from production to distribution. Assist with consulting outside printers/vendors regarding schedules and cost estimations of all print jobs.
6. Maintain publications inventory, ensuring availability of publications, solicitation materials, outreach and education supplies; prepare and distribute associated inventory reports.
7. Process publication requests orders.
8. Assist in coordinating the logistics of special events, exhibits, activities and programs.
9. Conduct research to identify new funding prospects; managing donor and prospect records, and coordinating donor communications.
10. Maintain tracking mechanisms for executive, development, media relations and communications, and public policy calendar and functions.
11. Create/prepare reports and Power Point presentations.
12. Coordinate taking and distribution of minutes of meetings.
13. Arrange business travel
14. Gather and assemble background information for projects and publications.
15. Distribute correspondence through Microsoft Office Outlook and broadcast email software.
16. Organize and complete multiple projects simultaneously.
17. Assist with intra-office technology.
18. Other duties as assigned and working as a team member.

Qualifications:
High school graduation / GED and at least three years administrative support experience. Thorough knowledge and skill with Access a must. Skilled facility in Microsoft Word, Excel, Power Point, Database Management software and Microsoft Outlook. Working knowledge of computer hardware and software. Enthusiastic and flexible. Takes initiative. Excellent written and oral communications skills. Special event planning experience preferred. Non-profit work experience a plus. Bilingual (English/Spanish) a plus.

Job Desc..: GENERAL DESCRIPTION

The Donation Attendant is responsible for maintaining attended donation site. This includes accepting, sorting and loading donations, as well as greeting donors and answering questions about the organization.

EDUCATION, TRAINING AND WORK EXPERIENCE

A high school diploma or equivalent. General computer skills and Customer Service experience.

ESSENTIAL FUNCTIONS

1. Report to the Donation Center Coordinator
2. Assist Donation Center Coordinator on scheduling routs.
3. Ensure cleanliness of donation site
4. Set out signage and other advertising materials at the beginning of each shift
5. Put these items away securely at end of shift.
6. Record donor information on tracking sheet
7. Sort donations by type
8. Assist the driver with loading and unloading the truck
9. Communicate all concerns or questions via cell phone as required
10. Maintain neat appearance and professional, courteous conduct with all members of the public, and staff.
11. Other duties as assigned
12. Be able to push and pull a hand truck loaded with 150 pounds

Must be able to lift and carry:

1. Objects: various shapes and sizes
2. Distance: Up to 50 feet at one time
3. Weight: 1 to 50 pounds frequently, occasionally while climbing stairs; 50 to 75 pounds occasionally
4. Lift: from the floor to a height of 34"(truck cargo box floor) and to a height of 70" (for stacking merchandize inside cargo box)
